How does Yesware Tracking work?
Many customers love our email tracking feature because it helps them close deals faster. If you haven’t used it yet imagine sending an email to your key prospect and then knowing when and where they opened it. You’ll be able to time your follow up appropriately and close the deal easier. Cool right?
How it Works
We use the same technology that email newsletter service’s use by relying on a tracking pixel embedded in each email you send using Yesware. But we decided to apply it to one-on-one communication so salespeople can rely on this information.
Common Issues
When you send an email using Yesware tracking, a pixel is embedded in your message. This invisible image will load on almost any email client unless they’ve disabled images. You can also enable Link tracking where Yesware creates a special link in place of any you’ve included in your email. This link doesn’t change the look of the message but may stop the message from being received if their spam filters are at high levels.
If the email client or application does load the image or they click on a tracked link our server gets pinged with the IP address so we can give you relevant information about the receiver like where they opened the email, when they opened it and even what device they used to read it. In some instances the message may not have been tracked if they opened it, or may have loaded without them actually reading it.
What it means for you
When we track an email you will get a notification in your browser window and the ability to view the information in your Yesware dashboard or account settings. Just be aware that if you sent an email to several people, CCed someone or if the message was forwarded then we can only tell you that ‘somebody’ opened your message. But even still our customers tell us it’s fascinating to see when ‘somebody’ opened your message several times because that either means they love your email or its being forwarded throughout the organization.
Privacy and Legality
Yes, it is legal for us to track all of this information. This technology has been used for almost 20 years for marketing purposes except we are applying it differently to individuals. We are partially funded by Google Ventures and work with them to monitor any legislation that may prove otherwise. We have strict terms of use that outline how the tracking information is used and we discontinue any accounts that violate them. We collect personal information for our application purposes and do not share anything without your consent. You can read more about our privacy policy here.
Tracking Report
We use all of this information to track how many emails have been tracked, which ones are being replied to and what percentage of email is being opened. You can view all of this information in your team Tracking Report. We even introduced “Hot Messages” which tells you which emails are being interacted with the most so you’ll get a sense of how your email is engaging prospects.
We’re always working on ways to improve so please email support@yesware.com with ideas or feedback.
